Travel Desk Agent (m/f)
Role & responsibilities
- Organizing and booking staff duty travel in collaboration with an external travel agency
- Ensure administrative follow-up of staff reimbursements for official travel
- Participate in negotiating preferential rates with travel companies and hotels
- Organizing events for national and international meetings and providing logistical support
- Participate in contract renewals and renegotiations where applicable
- Act as the point of contact for agents on all matters relating to their business travel
- Participate, in collaboration with other teams in the Department, in projects related to the Travel activity
- Ensuring compliance with internal procedures and organisational policies relating to business travel
- Suggest improvements to internal travel organisation procedures
- Ensure administrative follow-up and archiving
Your profile
- Secondary school diploma (BAC) or Advanced Technician's Certificate (BTS/BAC+2) or university degree (Bac+3) in a relevant field (management, tourism, administration)
- Previous professional experience in a similar position would be an advantage
- Fluency in written and spoken Luxembourgish, French, German and English
- Good communication and writing skills
- Knowledge of Cytric, SAP and MobileXpense is an advantage
- In-depth knowledge of MS Office
- Flexibility, organization, proactivity and thoroughness
- Team spirit
- Ability to suggest improvements to internal procedures
- Respect for administrative procedures and policies
The successful candidate (m/f) will be hired as public employee (“employé de l’Etat”) under a permanent contract. If the candidate meets the required conditions, s/he will be asked to apply for admission to the status of civil servant (“fonctionnaire de l’Etat”).
Prior to the conclusion of the contract, the candidate must submit an extract from the criminal record (bulletin n°3), dated less than 2 months, in order to prove their conduct and integrity.
