Executive Assistant (m/f)
Mission
In the context of a replacement, the CSSF is looking to recruit an experienced executive assistant to assist a director who is a member of the institution’s executive committee. This high integrity role requires a strong sense of organization, rigor, discretion and an excellent command of institutional communication.
Role & responsibilities
- Proactively and independently manage the Director's agenda, taking into account changing priorities, internal and external meetings, committees and business trips
- Ensure efficient, structured and confidential handling of incoming requests (internal and external), assessing relevance and urgency, and anticipating actions to be taken
- Prepare, proofread and ensure the quality of documents, e-mails and communications intended for internal and external stakeholders (committees, institutions, partners, etc.)
- Coordinate with other executive assistants on cross-functional issues on the agenda of the Executive Committee, and ensure smooth exchanges between the departments concerned
- Monitor deadlines associated with subjects brought to the Director's attention, gathering the necessary input from staff and managers
- Independently suggest improvements in the annual management of recurring tasks (budget, HR, IT, buildings, DPO, etc.)
- Organize the manager's travels and prepare the necessary elements to ensure their smooth running
- Act as the Director's approachable and benevolent liaison with the teams, adopting a posture of listening and balance in interactions
- Participate in a system of reciprocal back-up with another executive assistant to ensure continuity of duties in the event of absence
Your profile
- Bachelor's degree (Bac+3)
- At least 3 years' professional experience in an equivalent position, ideally in an institutional, regulatory or organizationally demanding environment
- Excellent command of Luxembourgish, French, German and English, both written and spoken
- Very good command of office automation tools (MS Office, Outlook, SharePoint, etc.) and ability to adapt to specific internal tools
- Strong sense of discretion, confidentiality, rigor and writing skills
- Ability to anticipate, think critically, be proactive and take constructive initiatives
- Sense of service, interpersonal communication and interpersonal balance in a demanding institutional context
The successful candidate (m/f) will be hired as public employee (“employé de l’Etat”) under a permanent contract. If the candidate meets the required conditions, s/he will be asked to apply for admission to the status of civil servant (“fonctionnaire de l’Etat”).
Prior to the conclusion of the contract, the candidate must submit an extract from the criminal record (bulletin n°3), dated less than 2 months, in order to prove their conduct and integrity.
