Administrative Assistant – Fixed-term contract (1 year) (m/f)

Mission

The “Administration and Office” team as part of the “On-site Inspection” department is looking for an experienced temporary support for a period of one year.

Role & responsibilities

  • Administrative management of the department (telephone, incoming/outgoing mails, emails, intranet site, internal procedures, authorization forms, leave, preparation of agendas and minutes of meetings etc.)
  • Management and follow-up of on-site inspections at the administrative level
  • Management and organization of meetings
  • Management and organization of the trainings of the department
  • Preparation, formatting and sending of letters and reports prepared by the department
  • Preparation of statistics on on-site inspections
  • Electronic filing of the inspection files
  • Participation in various internal committees
  • Ensure the proper application of the processes related to the IT tool used
  • Direct contribution to the proper functioning of the department

Your profile

  • Technical high school/secondary diploma (administrative & commercial division) and professional experience in administrative functions of at least 3 years
  • Full proficiency in French and English; German and Luxembourgish are considered as strong assets
  • Good knowledge of the MS Office package
  • Versatility, flexibility, reliability, critical thinking, and rigour in the performance of daily tasks
  • Management of priorities
  • Regular availability between 8 a.m. and 5 p.m.
  • Communication, analytical and writing skills
  • Ability to work in a team
