Administrative Assistant – Fixed-term contract (1 year) (m/f)
Mission
The “Administration and Office” team as part of the “On-site Inspection” department is looking for an experienced temporary support for a period of one year.
Role & responsibilities
- Administrative management of the department (telephone, incoming/outgoing mails, emails, intranet site, internal procedures, authorization forms, leave, preparation of agendas and minutes of meetings etc.)
- Management and follow-up of on-site inspections at the administrative level
- Management and organization of meetings
- Management and organization of the trainings of the department
- Preparation, formatting and sending of letters and reports prepared by the department
- Preparation of statistics on on-site inspections
- Electronic filing of the inspection files
- Participation in various internal committees
- Ensure the proper application of the processes related to the IT tool used
- Direct contribution to the proper functioning of the department
Your profile
- Technical high school/secondary diploma (administrative & commercial division) and professional experience in administrative functions of at least 3 years
- Full proficiency in French and English; German and Luxembourgish are considered as strong assets
- Good knowledge of the MS Office package
- Versatility, flexibility, reliability, critical thinking, and rigour in the performance of daily tasks
- Management of priorities
- Regular availability between 8 a.m. and 5 p.m.
- Communication, analytical and writing skills
- Ability to work in a team
